Reporting to the Administrative and Financial Manager, the employee works part-time in a versatile role covering general services, human resources administration, and IT and telecommunications.

General and Administrative Services

  • Telephone reception: answering the switchboard, screening and routing calls, and taking messages.
  • Mail: receiving, sorting, and distributing incoming mail; preparing and sending outgoing mail.
  • Supplies: inventory tracking, ordering, supplier relations, and delivery verification.
  • Organizing and archiving paper documents, including clearing the current backlog of approximately three months.

Human Resources – Personnel Administration

  • Contracts: Preparing employment contracts and amendments; tracking signatures.
  • Hiring and Termination: Hiring formalities (DPAE, employee file, unified personnel registry) and termination formalities (end-of-contract documents).
  • Interns: internship agreements, tracking of stipends, orientation, and administrative support.
  • Vacation and Absences: Maintaining leave balances, tracking requests, and forwarding information to Payroll.
  • Onboarding New Hires: Preparing the Workstation, Issuing Documents and Access.
  • Regulatory requirements: maintaining and filing the health and safety log, and updating the required posted notices.

Computers and Telephony

  • Purchasing of computer equipment (PCs, peripherals): identifying needs, requesting quotes, placing orders, and tracking orders.
  • Purchasing and managing telephone services: lines, service plans, and devices.
  • User rights: creating and deleting accounts and access permissions when employees join or leave the company, in collaboration with the IT service provider.

Education and Experience

  • Two-year post-secondary degree in management assistance, with a specialization in human resources.
  • At least two years of experience in a versatile administrative and HR role.

Technical Skills

  • Proficiency in office software: word processing, spreadsheets, and email.
  • Knowledge of the basics of personnel administration: contracts, hiring and termination procedures, leave, and posting requirements.
  • Proficiency with common computer tools to provide first-level support.

Required Qualifications

  • Organization and attention to detail are essential for tackling a variety of topics within a tight timeframe.
  • Independence and a sense of priorities.
  • Discretion is required given access to confidential information regarding employees and contracts.
  • Strong interpersonal skills and a commitment to customer service, both on the phone and in person.
  • A four-month fixed-term contract, part-time (50%), every morning.
  • Position based in Cherbourg
  • Compensation: 50% of a full-time gross annual salary of €26,000, or €13,000 on a part-time basis.
